Is a CRM Worth It? How to Calculate CRM ROI for Your Business
By Jared Casper, Founder · · 6 min read
Is a CRM worth it? It is when the revenue it helps you recover plus the tools and time it saves add up to more than it costs. You can check with one formula — ROI = (gains − costs) ÷ costs — using your own numbers for recovered leads, replaced subscriptions, hours saved and repeat business.
The simple CRM ROI formula
ROI isn't complicated:
ROI = (Gains − Costs) ÷ Costs
For a CRM, your gains come from four places: leads you recover, tools you stop paying for, hours you get back, and customers who come back more often. Your costs are the subscription plus any setup.
Most owners look only at the cost line. The point of the formula is to put the other side on paper too.
Start with the cost side
For CasperPortal, the cost side is straightforward:
- Growth Plan: $297/month with unlimited users and unlimited contacts, or $2,970/year billed annually.
- Self-serve setup: no setup fee, month-to-month, no long-term contract.
- Optional done-for-you setup from CasperB2B is listed on the pricing page if you want it built for you.
Gain 1: lead recovery
This is usually the most direct path to ROI. Work it out with your own numbers. For example, if you miss 10 calls a month, recover 2 of them with missed-call text-back, and your average job is $500, that's $1,000 of work you would otherwise have lost — set against a $297 monthly subscription.
The same logic applies to slow follow-up: count the leads that went quiet last month and ask how many a consistent automated follow-up would have kept warm. See also the losing leads problem.
Gain 2: consolidation savings
List the tools a CRM would replace — email marketing, texting, scheduling, review requests, forms, landing pages — and add up what you pay for them today. Whatever you'd cancel counts as a gain. Our unified CRM guide includes a worksheet for this.
Gain 3: time saved
Time spent copying data between apps, sending reminders by hand and chasing reviews is a real cost. For example, if you spend 5 hours a month on that kind of admin and value your time at $50 an hour, that's $250 a month. Use your own hours and rate.
Gain 4: customer lifetime value
Customer lifetime value (LTV) is what a typical customer is worth to you over the whole relationship, not just one job. Estimate it as average job value × jobs per year × years they stay.
A CRM raises LTV by keeping you in touch: reminders, win-back messages and review requests bring customers back more often. Even a small increase in repeat visits matters when you multiply it by LTV instead of a single job.
The hidden cost of doing nothing
Not choosing a CRM is also a choice with a cost: missed calls that never call back, leads nobody followed up, customers who drifted to a competitor because they didn't hear from you. These losses don't show up on a bill, which is exactly why they're easy to ignore. Reporting makes them visible once your leads are in one place.
Put it together
- Add up your monthly gains: recovered leads + cancelled tools + value of hours saved + extra repeat business.
- Subtract your monthly cost.
- Divide by your monthly cost.
If the result is positive, the CRM pays for itself. The interactive ROI calculator runs these numbers for you.
